Can someone help with the exact trains to catch?

Hi

We will be travelling to Japan in a few months as a family of 4 (two adults one toddler and an infant) Im really confused with the train system and whether to buy a JR pass or is it better to buy as we go? so any helpful tips would be great as to which train to catch or where to catch it and should we purchase? Ideally we would like the fastest route and direct if possible as will be lugging two kids pram and luggage yikes!! In tokyo we would most probably use the train to get around also so would this affect which train pass to get etc?

We would start in

Tokyo (not sure which area yet) 4 nights

Tokyo to Hakone 2 nights

Hakone to kyoto 4 nights with train trip to nara park

Kyoto to Osaka 3 nights with train trip to kobe

Your full itinerary is useful to see if JR Pass pays off, including entry and departure airports.

You may wish to familiarize yourself with Hyperdia.com for train schedules and fares to be used with Google maps and paper maps.

I refer you also to Japan-Accessible.com aimed at wheel chair users but useful for those with prams on transportation and tourism matters.

Incidentally, Osaka and Kyoto are close to one another, and it's up to you, but you don't have to move hotels.

Even if you have to go back to Tokyo to fly out, no JR Pass is needed in your case if these are all the places you want to visit. Your time away from Tokyo exceeds 7 days so that knocks out the 7-day Pass. The destinations you have listed don't cost enough to warrant a 14-day Pass. Stick to single tickets. For Hakone, you can look into the Odawara versions (no Tokyo transfers) of Hakone Free Pass or Fuji Hakone Pass:

Kobe itself isn't the most interesting place to visit, particularly if you will already be spending days at Tokyo and Osaka. Consider Himeji instead. A JR 1-day Kansai Area Pass is a good deal in that case. You can still stop at Kobe in the afternoon on the way back if you wish.

If you’re not intend to come back to Tokyo after your visit to Kyoto and surroundings, I personally think taking a flight can be an option for you.

With 2 little children, your luggage won’t be small even with luggage forwarding, but if you fly, the airline will handle your luggage so you can save the hassle. From ITM airport you can take limobus to Kyoto and they have a luggage compartment.

And I also recommend you to bring or buy an umbrella stroller for your kid and baby carrier for your baby. Strolling around 2prams can be a pain as elevators at stations can be small and folding 2prams when you’re taking taxies or buses whilst taking care of your kids in a busy street sounds a bit too much hassle to me! (I’m also a mom of a playful toddler.)
