We made our reservations on line before we went to Japan. You can make online reservations on JR East before you get to Japan (JR West does not offer on-line reservations). Once there, go to the Travel offices at the JR station, show your rail pass to pick up your reserved tickets and they delete the charges for the tickets. How far in advance? Like most situations, is dependent on time of year and which time of day you want. We went from Akita to Hirosaki for the Hirosaki Cherry Blossom festival and the first train of the morning was completely booked. We took the 10 am train departing Akita and it was pretty much empty. Look carefully at the train car map for the Resort Shirakami. We originally got a booth because we had a group of 4 but we found the regular seating with two on either side of the aisle is more comfortable. Since there were only two people in the first car (which I would recommend because you can see out the front window where the conductor is sitting) we just moved to the first car.
